Summary of Responsibilities:
The First Impressions team plays an important role in setting the tone for our organization. As the first-person clients are greeted by, and the last they say goodbye to, the Director of First Impressions is instrumental in making sure clients have a positive and warm experience.

Preferred Qualifications:
- BA or BS preferred
- Experience with a customer/client base
Principal Responsibilities:
- Greets clients and makes them feel comfortable when they visit/call/e-mail the office.
- Handles calendars for Financial Advisors and Conference Rooms through emails/phone/Calendly.
- Calls/uses Calendly with clients to set up appointments & sends out reminder postcards regarding their appointment.
- Makes reminder appointment calls or emails to clients. (Leverage technology for this area.)
- Participates in Marketing Meetings, works closely with Marketing Director (3rd party) & submits items to compliance.
- Organizes client events. Four per year. Secures locations, food vendors, client reservations, prepares nametags & data/financial recap after event.
- Maintains and helps Build the Client Database. (CRM)
- Handles incoming phone calls and routes them appropriately.
- Coordinates telephone system, copy machine, and fax issues.
- Sorts and distributes the mail.
- Sends out birthday and special occasion greeting cards, flowers & memorial gifts.
- Orders and handles office supplies & building needs.
- Build, negotiate, schedule, and manage vendor relationships.
- Responsible for making hotel accommodations for overnight clients & staff travel to Gillette.
- Sends out the Weekly Market Commentary and Weekly Advisor Analysis.
- Manages mailing list for Client Quarterly Newsletter, provides some content & secures photo permissions.
- Prepares & mails/e-mails introduction packets to referrals, including document requests and wealth questionnaires.
- Sends thank you cards with gifts to clients for giving referrals.
- Develops and maintains written systems of all activities.
- Maintains conference rooms to be sure they are set up before appointments and picked up afterward.
- Provide Clients with drinks as needed while in the office/meetings.
- Contacts clients regarding retirement gifts, orders, and tracks.
